Our senior technicians know how to keep your infrastructure running. Your leadership knows where the company needs to go in three years. The vCIO is the person who translates between those two worlds: technology mapping of your organization, investment prioritization, macro-level read on risk, multi-year budget planning, and communication adapted to leadership and the board. The vCIO works with the account manager and technical specialist already assigned to your file. They do not replace anyone, they add a strategic layer.

Discovery and scoping (month 1)

Meetings with your leadership, technical review with the Hilo specialist already on your file, mapping of business issues and constraints, identification of the 3 to 5 strategic priorities.

Initial strategic plan (months 2-3)

Drafting of the multi-year IT plan: roadmap, budget, risks, milestones. Presentation to your leadership and validation. This document becomes the compass for our quarterly reviews.

Quarterly steering cycle

Every quarter: progress review, risk updates, investment decisions, roadmap adjustment. Leadership report and (when relevant) a board brief.

Annual review and budget planning

Formal year-end review: commitments delivered, IT posture evolution, honest retrospective. Alignment with your budget cycle for the following year.

Frequently asked questions

What size of company is the vCIO for?
Typically 50 to 500 employees. Below that, managed services with their included quarterly review usually suffice. Above that, organizations usually hire a full-time CIO. In between, the vCIO offers the best value-to-cost ratio: strategic expertise without the cost of a full-time executive.
Do I have to already be a Hilo client to add a vCIO?
It's preferable but not required. The vCIO draws a lot of value from visibility into your IT operations (HaloPSA, NinjaOne, technical reviews with our teams). For a new client, we recommend starting with managed services or comanagement, then adding the vCIO once the operational base is stable. Standalone vCIO engagements are possible but more limited in impact.
How many hours per month does the vCIO involve?
Typically 8 to 30 hours per month depending on the phase. More intense in the first 2-3 months (discovery, initial plan), then steady at around 10-15 hours (reviews, advisory, committee prep). Spikes happen during annual budget planning, a major project, or a strategic incident.
How much does it cost?
Monthly rate based on reserved hour volume, with no long-term commitment. Ballpark: between CAD 2,000 and 8,000 per month depending on intensity. The cost is usually 10 to 20 times less than a full-time CIO, for 80% of the strategic value in the 50-500 employee range. Precise quote after a free discovery call.
Does the vCIO replace the account manager?
No. The account manager remains your commercial point of contact (contracts, billing, escalations). The technical specialist remains your operational point of contact (complex tickets, projects, technical advice). The vCIO works at the strategic level, talking to your leadership and translating between operations and strategy. The three roles are complementary.
Can you be independent in your recommendations while also being our IT vendor?
A fair question. Our stance: when a vCIO recommendation concludes that software, a vendor, or a partner outside Hilo Tech is the right choice, we say so and help put it in place. The vCIO engagement is billed independently of delivery, which aligns our incentives with your outcomes. For clients who prefer total separation, we can recommend external vCIOs. We would lose the engagement but gain the credibility.
